National Office Update


GRASSROOTS, COMMUNITY OUTREACH, YOUTH, ASSOCIATIONS and CUSTOMER SERVICE


Youth Programs continue to plan and prep for the 2019 Youth Outdoor National Championships to be held in Durham, NC on June 25-30 and the 2019 USATF Hershey National Junior Olympics Track & Field Championships to be held in Sacramento, CA on July 22-28. Registration is also available for the 2019 USATF Cross Country Camp set for the Olympic Training Center in Colorado Springs and USATF Associations have been invited to sponsor youth athletes to attend the camp.





We conducted a RunJumpThrow event at the Toyota Headquarters in Plano, Texas as their employees celebrated Olympic Day. We also worked with the Texas Relays for an RJT event with 200 elementary school students and look forward to an event in conjunction with the Penn Relays.

SAFESPORT


Training:
If you haven't already, please be sure to take the U.S. Center for SafeSport's training at www.safesport.org. If you are new to this site, you will need to register and enter your USATF membership number when prompted. Please reach out to safesport@usatf.org if you have any questions about completing this training. Additionally, due to the recent Education and Training Policy issued by the U.S. Center for SafeSport, USATF will no longer be able to offer group SafeSport training sessions using the USOC SafeSport Training Course. All USATF members who need to complete SafeSport Training will be required to do so on the U.S. Center for SafeSport's platform. For those USATF members who have already completed a SafeSport Training Course, that course will be honored through 2020. Thereafter, all USATF members will be required to complete either the Core SafeSport Training Courses or the Refresher Course on an annual basis. Further communication will be sent out to all members in advance of that requirement. 
Reporting:
Athlete safety at USATF is of paramount importance and something that we take very seriously. As always, you should report any instances of sexual misconduct to the U.S. Center for SafeSport via their online reporting form here. Please report misconduct relating to bullying, hazing, harassment, and physical or emotional misconduct to USATF via our online reporting form here. 
Disciplinary records:
Please be sure to check the Disciplinary Records page for any individuals who are serving a suspension or who are otherwise ineligible to participate with USATF. As a reminder, these individuals should have NO participation in any capacity in any activity or competition authorized by, organized by, sanctioned by, or under the auspices of USATF or the USOC, the national governing bodies recognized by the USOC, and/or any Local Affiliated Organizations of a national governing body recognized by USATF and/or the USOC (including any USATF associations and clubs). 
Updates:
We are diligently working to implement the Restricted Volunteer Waiver program and accompanying application. Please continue to use SafeSport protocols currently in place until otherwise notified by the National Office (i.e., volunteers with access to athletes should be USATF 3-Step SafeSport compliant).
Additionally, the U.S. Center for SafeSport has released a new SafeSport Code, available here, effective April 15.

FINANCE


Travel Expense Reimbursements:
Beginning with travel on or after 5/1/2019, USATF volunteers, committee members and other constituents who are traveling on USATF-related business will need to submit receipts for any and all reimbursable expenses, including meals and incidentals. Flat per diem payments will no longer be issued. Meals may be reimbursed up to a maximum per day as follows, subject to additional committee restrictions if applicable:





IRS Low Cost Locality (determined annually by the IRS): Meals reimbursed up to the lesser of meal receipts submitted OR $52 per day
IRS High Cost Locality (determined annually by the IRS): Meals reimbursed up to the lesser of meal receipts submitted OR $65 per day
A listing of the IRS Low and High Cost Localities will be listed on the website as of May 1 and will be effective through Dec 31. The listing will be updated annually with any IRS changes. Questions may be directed to the committees' national office committee liaisons. Communication of further committee-placed restrictions needs to be made by the committee board to the committee members prior to booking travel.
This change in policy does not affect the Officials' stipends that are paid for USATF's Indoor and Outdoor Championship meets.
Association Reviews:
Finance will be scheduling association reviews to begin later in 2019. We will be detailing the timing and requirements shortly.





WEBSITE


Progress continues with the website project. Thunder:Tech is a digital marketing agency and web design firm that we have engaged to assist USATF with the upgrade to the latest version of software and re-imaging of the National and Associations CMS (Content Management System). They will be instrumental in the integration of our new membership, club, sanctions, registrations, and other applications into our website to ensure a seamless transition between the content pages and applications.
IT and Marketing are working with the subject matter experts, committee liaisons, and others to determine the best layout and content to support the Website Vision (USATF Members, USATF Fans, Running Community).

USATF has identified and is in the final stages of negotiation with a business partner that provides membership, club, sanctions, and registration software that will serve our business and community. That company utilizes a stable and secure platform that is easy to use, has excellent process flows, 360-view of members and robust reporting. We are working with the company to review business processes, discuss integration touch points and review best practices in the industry.
